Four kinds of software supplier you will meet

If you are speaking to several software companies in Ranchi, you are not comparing like with like. The people who answer your enquiry usually belong to one of four kinds of supplier, and each kind sells something different. Knowing which kind you are talking to makes the quotations easier to compare. This applies anywhere in India, not only in Ranchi.

Product company

A product company has already built software for one kind of work, such as school fees, pharmacy billing or payroll, and sets it up for each new customer. You pay for a licence, set-up and support. You are buying something that already runs elsewhere, so you can see it before you pay.

Custom development company

A custom development company builds software around your process. You describe the screens, approvals and reports, and the company writes them. This suits work that no ready product covers, but it takes longer and depends heavily on how clearly the scope is written.

Freelancer

A freelancer is one developer working alone. Freelancers can be skilled and quick for a small, well-defined job. The risk is continuity: if that one person takes a job, falls ill or moves city, nobody else knows your system.

Online subscription (SaaS)

An online subscription is software you sign up for on a website and pay for monthly or yearly. It is quick to start and needs no installation. You get what the provider offers to everyone, changes for your organisation are usually not possible, and support is often by ticket or email rather than a person you can meet.

Pros and cons side by side

TypeGood forWatch out forAsk before you pay
Product companyCommon work such as schools, hospitals, pharmacies, shops, restaurants and payrollForcing your process into a product that does not fit itCan I see it working on records like mine? Which modules are optional? How are changes charged?
Custom development companyUnusual processes, several departments, your own reports and approvalsA vague scope, which leads to disputes and delaysIs every screen and report written down? Who owns the source code? Where will it be hosted?
FreelancerA small, clearly defined job with a short lifeNo one to call if the person becomes unavailableWill I receive the source code, server logins and notes on how it works?
Online subscription (SaaS)Simple, standard needs and quick startLimited changes, price changes and data locked in the provider’s formatCan I export all my data? What happens to it if I stop paying?

Two risks that matter more than the first price

Who owns the code, the server and the data

With a product or a subscription you normally receive a licence to use the software, not its source code. That is normal. What you must protect is your data: ask whether you can export your records to Excel or another open format, who takes the backups, and whether your organisation keeps the main admin login.

With custom software, settle ownership in writing before work starts. The agreement should say who owns the source code, whose name the domain and hosting account are in, and what documentation you will receive. Many disputes start because the server was registered in a developer’s personal name.

Who will support it in two years

Here is an illustrative example. A coaching centre has a fee module built by a freelancer. Two years later the centre adds a new batch with instalment fees, but the freelancer has taken a job in another city and nobody else understands the code. The centre now pays a second developer to study the old system, or starts again.

Ask every supplier how long they have supported the product, how updates reach you, and who answers if your usual contact leaves. A company with a registered name and an office you can visit is easier to hold to an agreement than a personal mobile number. You can check any Indian company’s registration on the Ministry of Corporate Affairs website.

How to decide which kind you need

Work through these questions in order. Stop at the first one that clearly applies to you.

  1. Does your work follow the usual pattern for your industry? If you run a school, pharmacy, shop, hotel or similar, start by seeing a product. It is faster to set up and someone else has already found the common problems.
  2. Is only one part of your work unusual? Choose a product with custom additions, such as one extra report or a small portal, rather than a full custom build.
  3. Do several departments or branches need to share one process that no product covers? Choose a custom development company and spend time on a written scope.
  4. Is the need small, standard and used by one or two people? An online subscription or a simple tool may be enough.
  5. Is it a short, one-off job? A freelancer can work, as long as you receive the code, logins and notes at handover.

Where MATROP fits

MATROP is both a product company and a custom development company. We have ready software for schools, hospitals, pharmacies, retail and distribution, garments and footwear, restaurants, hotels, hostels, coaching centres, online exams, attendance, payroll and MLM businesses. When your process does not fit, we build custom software, and many projects combine both. Several of our products can run online or on a computer in your office. Ask which options apply to the product you need.

We are not a freelancer and we are not a sign-up-online subscription. You deal with MATROP PRIVATE LIMITED, a company registered in Jharkhand in 2016, with its office in Ranchi. Our main software company in Ranchi page lists each product and explains how implementation works. If you have already shortlisted two or three suppliers and want to compare their demos fairly, use our shortlisting method for software companies.

When MATROP is not the right choice

  • You want to start tonight without a meeting: if you only need a standard tool you can sign up for with a card, an online subscription will suit you better.
  • A package is prescribed: if a regulator, franchisor or parent company requires particular software, use that.
  • The need is tiny: a few entries a day by one person may not justify business software yet.

Frequently asked questions

A product company sets up software it has already built for one kind of work, such as school fees or payroll, so you can see it running before you pay. A custom developer builds around your own screens, approvals and reports, which takes longer and depends on a clear written scope, while a freelancer is one developer working alone. A SaaS subscription is signed up for online and paid monthly or yearly; it is quick to start but usually cannot be changed for your organisation.

If nobody else knows the code, you may have to pay a second developer to study the old system, or start again. To reduce this risk, make sure you hold the source code, server logins and notes on how the system works, and that the domain and hosting are in your organisation's name. A registered company with an office you can visit, such as MATROP Private Limited in Ranchi, is also easier to hold to a support agreement than a personal mobile number.

Ask this before you sign, because subscription software often keeps data in the provider's own format. Check whether you can export every record to Excel or another open format, who takes the backups, and what happens to your data after the subscription ends. With any ready product you normally get a licence rather than the source code, but your records should stay yours.

Both. MATROP Private Limited has ready software for schools, hospitals, pharmacies, retail and distribution, garments and footwear, restaurants, hotels, hostels, coaching centres, online exams, attendance, payroll and MLM businesses, and builds custom software when a process does not fit, with many projects combining the two. It is not a freelancer or a sign-up-online subscription; it is a company registered in Jharkhand in 2016 with its office in Ranchi.

If you need a simple, standard tool used by one or two people and want to start without a meeting, an online subscription is usually the better fit. A software company makes more sense when the software must be set up on your own fee heads, items or branches, your daily users need training, and you expect changes later. MATROP says so plainly when a subscription or a prescribed package suits you better than its own software.
