Two ways we deliver software

Most organisations that call us fall into one of two groups. The first group runs a kind of work we already have software for: a school collecting fees, a pharmacy billing medicines by batch, a distributor tracking stock in two godowns, an office running monthly salary. For them we set up a ready MATROP product on their own records. The second group has a process that no ready product covers well, such as a service company tracking field jobs or a manufacturer with its own approval chain. For them we build custom software.

Many projects are a mix. A school may use our school ERP and ask for one extra report its trust needs. A retailer may use our retail software and need a small portal for dealers. We tell you at the start which parts are ready and which parts will be built, so you know what you are paying for.

When we build custom software instead

A ready product is the faster choice when your work follows the usual pattern for your industry. Custom software makes sense when it does not. Typical signs are approvals that pass through several people, reports your management or a funding body asks for in a fixed format, or work that happens outside the office and must reach the office records the same day.

How implementation works, from your registers to the first live day

Software that is installed but not used is wasted money. Most of the real work happens between the agreement and the first month of daily use. This is how we run it.

1. Understand the work. We map how the job is done today, the reports you need, and what should stay manual.
2. Agree a written scope. The scope lists what the first version includes, what will come later, and what you must provide, such as fee heads, item lists, staff lists or opening balances.
3. Set up or build. For a product we configure it on your fee heads, items, branches and users. For custom work we show each module as it is ready, so you can correct it early.
4. Move your data. Student lists, patient records, item masters and pending dues are moved from Excel or your old software. We ask you to check the moved figures before anyone depends on them.
5. Test on real records. Your staff try real bills, admissions or salary entries before go-live.
6. Train and go live. We train the cashier, clerk, nurse or accountant on the screens they will use, each with their own login. A backup is taken before the office relies on the system.

An example: a school moving to software at the start of a session needs last year’s pending dues, this year’s fee heads and concessions, and class-wise student lists in place before the first fee day. What support looks like after go-live

The questions come after go-live. In the second month someone needs a report you forgot to ask for, a new branch opens, or a GST setting changes. We handle these changes, fixes and maintenance as the same team that set up the system. Support is by phone, WhatsApp and email, and our office in Ranchi, Jharkhand is open Monday to Saturday, 10 am to 7 pm, if you prefer to meet.

When you may not need us yet

Software is not always the right first step. We would rather tell you that than sell you something your staff will not use.

• Very low volume: a shop with a handful of bills a day and one person at the counter may manage well with simple billing software or a spreadsheet for now.
• Only accounts and tax filing: if bookkeeping and return filing are all you need, the accounting package your CA already uses may be enough.
• Process not decided: if your team has not agreed how a job should run, settle that on paper first. Software built on an unclear process has to be rebuilt.
• A prescribed system: if a regulator, franchisor or parent company requires a particular package, use that one.
