Top Software Company in Ranchi

If you are searching for a top software company in Ranchi, you probably have three or four names and brochures that all sound alike. No public list will tell you which one belongs at the top for your organisation. You need a fair way to compare them, so the decision rests on what each company actually showed you, not on who spoke most confidently.

This article gives you a five-step shortlisting method: write one requirement page, run demos with your own data, compare written scopes line by line, check the implementation plan, and score every company on the same sheet. It ends with how MATROP helps you run this method and why we think MATROP should be at the top of your shortlist.

Step 1: Write one requirement page before any demo

If every company hears a different story, you will get quotations that cannot be compared. Write one page and send the same page to everyone. It does not need technical language. It should cover:

  • Users: the roles who will use the software (owner, cashier, store keeper, accountant) and roughly how many of each.
  • Locations: one shop or several branches, and whether the godown is separate.
  • The five most common tasks: the jobs done most often in a day, written in your own words.
  • Reports: the three or four reports the owner wants to see without asking anyone.
  • Existing data: what is in Excel, an old software or registers, and what must be moved across.
  • Connections: biometric devices, SMS or WhatsApp messages, payment links or a website that must work with the software.
  • Deadline: the date that matters, such as the start of a financial year or a sale season, and why.

If you expect a custom build rather than a ready product, the guide on how to scope a custom software project goes deeper.

Step 2: Run every demo with your own data

Sample data always works in a demo because it was prepared for the demo. Make a small demo pack instead and give the same pack to each company: around twenty of your real items, students or employees, with personal details changed if needed, plus three awkward cases that happen every week.

Take a garments and footwear shop with two branches in Ranchi. One kurta design comes in six sizes and four colours. The demo tasks might be: create that design with all its variants, print barcode labels, bill two pieces, exchange one for a bigger size with a price difference, and check how many size 40 pieces in blue are left at the second branch. Let your cashier operate the screens while the company’s person guides, and note where the cashier got stuck.

One rule keeps the comparison honest: if a feature is “coming in the next version” or “can be done later”, score it as absent today.

Step 3: Compare the written scopes line by line

After the demos, ask each company for a written scope, not only a price. Put the scopes side by side and look for what one company wrote down and another left out. The useful lines are:

  • Modules included now, and items marked optional or for a later phase.
  • Data migration: who moves the old data, in what format, and who checks it.
  • Training: which roles, how it is done and on whose data.
  • What you must provide: masters, approvals, a person on your side and computers or printers.
  • Support and changes: how problems are reported, how a change is requested and priced.
  • Recurring costs: hosting, annual maintenance, SMS or WhatsApp charges, written as separate lines.
  • Ownership: who holds the admin login, and whether you can export your data.

A one-line quotation is not necessarily dishonest, but it cannot be compared. Ask that company to fill the same lines before you continue. Our list of questions to ask before hiring a software development partner can help with this conversation.

Step 4: Check the implementation plan

Good software can still fail if it is set up in a hurry. Ask each company for a dated plan from signing to the first month of live use. A sound plan sets up masters (items, fee heads, employees) first, then imports old data, then runs a trial period alongside your present method, then trains each role, and only then fixes a go-live date that avoids your busiest days. It also says who will be on call in the first weeks.

Be careful with a plan that puts training on the go-live day, has no trial run, or depends on one named individual with no backup. Those plans look faster on paper and usually take longer in practice.

Step 5: Score each company on the same sheet

Fill this sheet after each meeting, while it is fresh. Give each criterion 0 (missing), 1 (partly shown) or 2 (fully shown), then multiply by the weight. The weights below are a starting point. Change them to suit you, but change them before the first meeting, not after.

CriterionWeightEarns 2 whenCompany ACompany BCompany C

Data ownership2Admin login and data export stay with your organisation, in writing
Company checks1Legal name matches the invoice and MCA record, and the office can be visited
Price clarity1One-time and recurring costs listed separately
Total16Maximum score 32

Compare prices only among the companies that scored well. A low price from a company that scored poorly is not a saving, because the missing items will reappear later as extra bills or as staff who stop using the software. In the garments example, a company that showed only its own sample data and sent a one-line quotation might score 10 or 12, however attractive its figure.

The garments shop and its scores are illustrative. They do not describe a real client or a real company.

When this method is more than you need

  • One or two users and simple billing: if a well-known billing app already does the job, a full shortlisting exercise is too much effort for the decision.
  • The product is already decided: if you have used a product successfully at another branch and only need it installed, a lighter check on the installer is enough.
  • No time for demos: if nobody from your staff can spare two or three hours for demos, postpone the decision. Choosing without them is how unused software gets bought.
  • A fixed price before any requirement: if you want a firm figure before writing Step 1, MATROP is not the right company for you. We prefer to see the requirement page first, because a price without a scope is a guess.

How MATROP helps

We are happy to be put through this method. Send us your requirement page and we will tell you whether one of our ready products fits, such as garments and footwear shop software with size and colour variants, barcode labels, exchanges and optional multi-branch stock, or our school, hospital, pharmacy, retail, restaurant, hotel, hostel, coaching, payroll and attendance products. If none fits, we will say so and scope custom software instead.

Bring your demo pack to our office in Ranchi, Jharkhand, with the cashier or clerk who will use the software, and ask us to run your tasks. Our written proposal lists the modules included, marks optional items as optional, and states what you need to provide. The implementation follows the same order every time: requirement, design, development, testing, go-live with training, and support.

Why MATROP should be at the top of your shortlist

Score us on the same sheet as everyone else. We expect to do well on the lines that decide whether software gets used: a demo your staff can try, a written scope you can compare, training by role, and support from the same company after go-live. Because we offer ready products and custom development, a gap in a product can be closed without another vendor, and connections for SMS, WhatsApp, payment and biometric devices are work we already do. We have been a registered company since 2016, and our Ranchi office is open Monday to Saturday for your team to visit.

If another company scores higher on your sheet, the method has done its job. If you are still deciding between a product, a custom build or a freelancer, read about the kinds of software companies in Ranchi first. To test how usable each option is for your staff, the page on software your staff will use every day lists what to try at each counter. To book a demo, call 9430106005.

Frequently asked questions

Fix the criteria and weights before the first meeting, for example weight 3 for a demo with your data and a written scope, weight 2 for the implementation plan, training, support and data ownership, and weight 1 for company checks and price clarity. Give each company 0, 1 or 2 per line straight after its meeting, multiply by the weight, and compare prices only among the companies that scored well. MATROP asks to be scored on the same sheet as every other company and does not claim a rank for itself.

List the roles who will use the software and roughly how many of each, whether you have one location or several branches, and the five tasks done most often in a day, in your own words. Add the three or four reports the owner wants without asking anyone, the data now in Excel, old software or registers, any connections such as biometric devices, SMS, WhatsApp or payment links, and the deadline that matters. Send the same page to every company so the quotations can be compared.

Sample data always works because it was prepared for the demo. Give each company the same pack of about twenty real items, students or employees, with personal details changed if needed, plus three awkward cases that happen every week, and let your own cashier or clerk operate the screens. Score any feature that is 'coming in the next version' as absent today; MATROP welcomes buyers bringing such a pack to its office in Ranchi, Jharkhand.

Look for the modules included now and those marked optional or for later, who moves and checks old data, which roles get trained, and what you must provide. It should also explain how problems are reported and how changes are priced, show hosting, maintenance and SMS or WhatsApp charges as separate recurring lines, and state who holds the admin login and whether you can export your data. MATROP Private Limited's written proposals list the included modules, mark optional items as optional and state what the client needs to provide.

A sound plan sets up masters such as items, fee heads and employees first, then imports old data, runs a trial alongside your present method, trains each role, and only then fixes a go-live date away from your busiest days, naming who is on call in the first weeks. Be careful of plans that put training on the go-live day, skip the trial run, or depend on one person with no backup. For custom work, MATROP shows each module as it is built, makes changes until the client is satisfied, runs final testing, and goes live or hands over only after the client says yes.
