Ranchi IT Company

MATROP PRIVATE LIMITED is a Ranchi IT company that builds software, websites and apps and supports IT systems. The first consultation is free, and this page tells you what to bring so that meeting ends with a clear next step.

Who it is for

  • First-time buyers of software or a website
  • Owners still working from paper registers or Excel
  • Principals and administrators asked to find an IT company
  • Managers replacing old software that no longer fits
  • Startups with an idea but no written requirement yet

Main features

  • Free first consultation at our Ranchi office, by phone or on WhatsApp
  • A look at your current registers, bills and reports
  • Advice on whether a ready product is enough or custom work is needed
  • A demo of a matching MATROP product, where one exists
  • A written scope and proposal after the meeting

Before you call: why preparation saves weeks

The first meeting with an IT company decides how good the proposal will be. If you arrive with only "we need software", the company can show a demo and guess. If you arrive with a sample bill, a list of the people who will use the system and a date you are working towards, the company can tell you in that same meeting what fits, what does not and what the next step is.

This guide applies to any Ranchi IT company you contact, not only to us. You do not need technical knowledge. Half an hour of collecting papers is enough.

What to bring to the first meeting

You do not need all of these. Bring what you have. Hide or blank out personal details such as phone numbers, patient names or salary figures if you prefer; the layout is what matters.

Questions we will ask you

Expect questions about your work, not about technology. These are the ones we ask most often:

  • Which task takes your staff the most time each day or each month?
  • Which report do you, as the owner or head, want to see, and how often?
  • What happens today when something goes wrong, such as a wrong bill, a missing fee entry or an expired medicine on the shelf?
  • Is there anything that must not change, such as a bill format your customers know or a fee structure set by your board?
  • Do you have reliable internet at every location where the system will be used?
  • Who in your team will be our contact during setup and training?
  • Do you also need a website, SMS or WhatsApp messages, or computer and network support, now or later?

What happens in the first meeting

You can meet us at our office in Ranchi, Jharkhand, or start on the phone or WhatsApp. We go through your documents and questions first. If one of our ready products matches, such as school, hospital, pharmacy, retail or payroll software, we show it with entries that look like yours. If nothing ready fits, we discuss what a custom system would need to do. You will usually leave knowing whether you need a ready product, a custom build or a mix of both.

We do not give a final price in the first meeting unless the requirement is simple and clear. Guessing a price before the scope is fixed leads to disputes later. Our posts on how to scope a custom software project and what decides software development cost in Ranchi explain why.

What you receive after the meeting

After the meeting, you receive a written scope. It lists the modules, screens or pages included, what you need to provide (such as data, content, photos and approvals), what is planned for a later phase, and how training and support will work. For custom software, we can show the main screens as a prototype before development starts, so you can correct them early. The proposal shows each job on its own line, for example software, website and messaging, so you can compare it with other quotes.

There is no obligation. Take the scope, show it to your committee or partner, and compare it with other companies if you wish.

An example: a coaching centre owner's first visit

Picture the owner of a coaching centre in Ranchi with three batches and about four hundred students. He brings a page of the fee register, a sample admission form and the test result sheet he prints every month. He says two staff handle fees, teachers enter marks, and he wants parents to get fee reminders without staff calling them.

In the meeting, he sees the coaching and computer centre software with batch-wise students, instalment fees and due lists, plus the optional test module and optional SMS or WhatsApp due reminders. His result sheet layout and his Excel student list go into the discussion as points to confirm: how close the report can come to his format, and how the list will be brought over. He leaves with a clear next step: a written scope within the agreed time, covering setup, data import and training for his two fee staff and the teachers. This is an illustration of how a first meeting goes, not a client story.

If you are not ready for a meeting yet

If you cannot yet say which work you want to improve, spend a week noting where time is lost and which mistakes repeat. That list is more useful than any brochure. If you only want a price list to compare, we do not publish one, because the cost depends on the scope. And if you want to see the full range of work we do before calling, read our page for an IT company in Ranchi. If you are outside Ranchi, see how we work with clients in other Jharkhand towns.

When you are ready, call or WhatsApp 9430106005 between 10 am and 7 pm, Monday to Saturday, to fix a meeting time.

Frequently asked questions

Bring notes on how the work is done today, a filled sample bill, receipt, register page or report, and a list of who will use the system. Also mention your branches, any existing software or website and who holds its logins, your deadline, a rough budget band and who makes the final decision. You can blank out personal details such as phone numbers or salaries, because the layout is what matters.

Expect questions about your work, not technology: which task takes your staff the most time, which report the owner wants and how often, and what happens today when a bill or fee entry goes wrong. MATROP also asks what must not change, whether every location has reliable internet, who will be the contact person, and whether you need a website, messaging or computer support now or later.

Usually not, unless the requirement is simple and clear. MATROP Private Limited does not guess a price before the scope is fixed, because that leads to disputes later. You leave the meeting knowing whether you need a ready product, a custom build or a mix of both.

MATROP sends a written scope that lists the modules, screens or pages included, what you need to provide, what is planned for a later phase, and how training and support will work. For custom software, the main screens can be shown as a prototype before development starts. Each job is on its own line, and there is no obligation, so you can compare the scope with other quotes.

Spend a week noting where your staff lose time and which mistakes repeat; that list is more useful in a meeting than any brochure. When you are ready, you can call or WhatsApp MATROP in Ranchi on 9430106005 between 10 am and 7 pm, Monday to Saturday, to fix a meeting time.
