What a payslip is for
A payslip should let an employee check, without asking anyone, how their pay for the month was worked out: what they earned, what was deducted and why, how many days they were paid for, and what reached their bank account. For the employer it is also evidence that wages were calculated and paid correctly.
This guide is for HR staff, accountants and owners who already issue payslips, whether from Excel, Word or software, and want them clearer and better supported by records. It covers the fields to include, the records to keep, what the labour codes mean for wage slips, and how to give staff access to their own documents. How PF and ESI are calculated is a separate subject, explained in our PF and ESI basics guide.
Fields a clear payslip should include
There is no single layout that suits every employer, and the contents legally required may depend on the rules that apply to your establishment. The table below is a practical checklist many Indian employers follow; confirm the mandatory items with your adviser.
| Part of the payslip | Fields | Why it matters |
|---|---|---|
| Header | Employer name and address, payslip month, date of payment | Shows who paid and for which period, which matters when the slip is used for a loan or rental application. |
| Employee details | Name, employee code, designation, department, date of joining, work location | Avoids confusion between people with similar names and shows which branch or state rules apply. |
| Statutory identifiers | UAN and ESI insurance number where applicable, PAN | Lets the employee match deductions with their own PF, ESI and tax records. |
| Attendance | Days in the month, days paid, loss-of-pay days, overtime hours | Explains why pay differs from the fixed monthly figure. |
| Earnings | Each component on its own line: basic, DA, HRA, allowances, overtime, incentives, arrears | Shows what was earned instead of one gross figure. |
| Deductions | Each deduction on its own line: PF, ESI, professional tax, TDS, loan or advance instalment, other recoveries | Shows exactly what was taken out and why. |
| Net pay | Net pay in figures and words, bank name and masked account number | Confirms the amount transferred and the account it went to. |
| Optional extras | Leave balances, loan outstanding, year-to-date totals, employer contributions | Answers the next questions an employee would otherwise bring to HR. |
Mask bank account numbers and leave personal details such as home address or Aadhaar number off the payslip. Payslips travel further than you expect, to banks, landlords and visa agents.
Making deductions understandable to the employee
Most payslip complaints are not about wrong figures; they are about figures nobody explained. Picture a staff nurse at a private hospital whose net pay drops one month. The reason is a mix of two unpaid leave days, the first instalment of an advance she took for a family wedding, and a small arrears payment that partly offsets both. If her payslip shows only gross, total deductions and net, she has to queue at the HR desk to find out.
A few habits make payslips self-explanatory:
- Use plain component names: write "House rent allowance" or "Advance recovery (3 of 10)" rather than internal codes such as ALW2 or DED-ADV.
- Show arrears on a separate line, with the months they relate to, instead of adding them silently into basic pay.
- Print loss-of-pay days as a number, so the reduction in each component can be checked.
- Show each loan or advance instalment with the balance outstanding after this month.
- Keep the layout identical every month, so employees learn where to look.
Labour codes and wage slips: what employers should check
Requirements for wage slips and wage registers in India have historically come from several laws, including the minimum wages and payment of wages laws and state shops and establishments rules. The four labour codes consolidate many of these, and the Code on Wages includes obligations on maintaining registers and issuing wage slips. The detailed format, whether electronic slips are accepted and how long records must be kept are set out in rules made by the central and state governments.
Because those rules are still being notified and can differ between states, we are not listing a mandatory format here. Check the current position on the Ministry of Labour and Employment website and your state labour department's notifications, and ask your CA or labour law consultant to confirm what your establishment must issue.
Points to confirm with your adviser
- Whether wage slips must follow a prescribed form, and whether they must be issued before or on the day of payment.
- Whether emailing payslips or publishing them in an employee portal satisfies the requirement in your state.
- Which registers you must maintain, such as wages, attendance, overtime, deductions and advances, and in what form.
- How long payroll records must be preserved, and whether electronic records are accepted.
The payroll records that should sit behind every payslip
A payslip is a summary. If an employee, an auditor or an inspector questions it, you need to show how each figure was reached. Keep these records for every month, tied to the same salary run:
- Salary register: the month's locked sheet showing every employee's earnings, deductions and net pay.
- Attendance and overtime records: the attendance on which payable days and overtime were based, including approved regularisations.
- Leave records: applications, approvals and balances.
- Salary structures and revision letters: the structure in force for each employee and the effective date of any increment.
- Loan and advance ledger: the sanction, the instalment schedule and every recovery.
- Statutory challans and returns: PF, ESI and professional tax payments and acknowledgements for the month.
- Bank transfer sheet and bank confirmation: proof of what was paid to whom.
- Approval record: who checked and approved the payroll before payment.
When a payslip has to be corrected, issue a revised version instead of editing the original, and keep both. Payroll software that locks a processed month and records any reprocessing with an audit trail makes this much easier. The everyday mistakes that lead to corrections are covered in our guide to common payroll errors.
Employee self-service: letting staff view their own payslips
Printing and handing out payslips works for a small office. Once you have staff on shifts, in several branches or on field duty, a self-service login stops HR from acting as a payslip counter. Employees log in to view and download their payslips, check leave balances, apply for leave and download documents such as a salary certificate.
Before you open self-service access, decide a few things:
- Login method: how employees receive their first password and how they reset it, especially staff without a personal email address.
- Access by role: an employee should see only their own records, a department head only their team's summaries, and only HR or admin the full salary register.
- Former employees: how long someone who has left can still download old payslips, or how they request copies.
- Phone access: if most staff will use phones, a mobile-friendly portal matters more than a printable layout.
Salary data is personal data. India's Digital Personal Data Protection Act, 2023 places obligations on organisations that process personal data; check the current rules on the MeitY website and keep access limited to the people who need it. Our checklist on security basics for business software covers roles, audit logs and backups in more detail.
How MATROP Payroll Software produces payslips and keeps the records
In MATROP's payroll software, payslips are generated from the same month-wise salary run as the salary register, so the two always agree. Payslips can be printed or downloaded as PDF, and emailing them to employees is available as an option. The employee role gives self-service access to view payslips, check leave balance, apply for leave and download documents, and an employee mobile portal with payslip view, leave application, announcements and profile is optional. Salary certificates and an income summary can also be produced.
Behind each payslip the software keeps the employee master, salary structures, attendance and leave records, a loan and advance ledger, PF/ESI summaries, the salary register and a bank transfer sheet. A processed payroll can be locked, reprocessing with audit and approval is optional, and role-based logins with permission control and audit logs limit who sees salary data. Desktop and cloud versions are available. Attendance can come from biometric devices or mobile attendance through an optional integration, described on our attendance software page.
If you issue payslips to a small team from a spreadsheet and nobody has questioned them, start by improving the layout using the table above. You do not need new software to show components separately and explain deductions. Software becomes worthwhile when payslips have to reach staff in several places, or when you need records that stand up to scrutiny without hunting through folders.
Questions people ask
Is it acceptable to send payslips only by email or WhatsApp?
Electronic payslips are widely used, but whether they satisfy the legal requirement for your establishment depends on the labour rules that apply in your state. Confirm with your adviser, and make sure each employee receives only their own payslip, which is hard to control in shared WhatsApp groups.
Should the payslip show the employer's PF and ESI contribution?
The employer's share is not part of take-home pay, so many employers keep it out of the earnings and deductions columns. Showing it separately, as information, helps employees understand their cost-to-company figure and check their PF passbook.
Do daily-wage or contract workers also need payslips?
Workers you pay directly should get a record of what they were paid for the period, even a simple weekly slip. For workers engaged through a contractor, ask your adviser who is responsible for wage slips and records under the rules that apply.
How long should we keep old payslips and salary registers?
Retention periods come from labour, tax and other laws and can differ, so ask your CA for the longest period that applies to you. Digital records with regular backups make long retention practical.
